‘What does science mean to you?’ photo contest - Terms and Conditions
1. OBJECTIVES
The ‘What does science mean to you?’ photo contest offers teams of young people from the European Union an opportunity to express their answers to this question ‘What does science mean to you?’ in image format. Every month between February 2014 and June 2014 teams of young people aged between 13 and 18 will be invited to submit their photos to our dedicated Science: It’s a girl thing! website. These photos will then be adjudicated online by their peers. Each month between February 2014 and June 2014 three winning teams will be announced based on the results of online voting. The 15 monthly winning entries between February 2014 and June 2014 will then be submitted to a jury which will determine the final three winning teams of the competition. 2. TIMETABLE
The timetable for the ‘What does science mean to you?’ photo contest is February 2014 t o June 2014 inclusive. The contest starts on 1 February 2014. In July 2014 a jury will determine the three winning teams. Teams may submit photos during the period between February 2014 and June 2014. These photos can be submitted at any time between the first day of the month (from 00:01 CET) until the 15th of the month (at 23:59 CET). The period from the 16th of the month until the last day of the month is open for voting. During the voting period no photos can be submitted. Voting will be open from the 16th of each month (from 00:01 CET) until the last day of the month (at 23:59 CET). The monthly winners will be announced on the website during the first week of the following month. The final three winning teams will be announced on the website in July 2014. 3. ELIGIBILITY
Participants must be citizens and residents of one of the 28 European Union Member States. Submissions must be made by teams of three people. Members of the team must be between the ages of 13 and 18 by the end of September 2014. Submissions cannot be made by individuals. The teams must consist of at least two girls. No team member can participate in more than one team. Members of the winning teams will be asked to provide proof of their identity. 4. SUBMISSION OF PHOTOS - HOW TO ENTER THE CONTEST
Participants must complete the online registration form and declare their compliance with the contest’s Terms and Conditions. Participants must provide a team name and a valid e-mail address. Participants must also indicate their country of residence, sex and age. The photo may then be uploaded on to the site. A team may only submit one photo per month. Submitted photos must be in jpg/jpeg format. They should be in landscape format. As the images should be of printable quality, they must be at least 5Mpx (3200x4250 pixels) with a resolution of 300 dpi preferably (min. accepted 200dpi). Each photo must be an original artwork. Originality, aesthetic and creativity should be taken into account. Pictures can be reworked with the help of software. Photos must not infringe the publicity or privacy rights of any individual, whether living or deceased, or otherwise impinge upon any person’s personal or proprietary rights. In order to ensure that people’s privacy rights are respected, participants in the photo contest are not permitted to submit photos with identifiable persons. Pictures may not contain violent, sexist, prejudiced or in any way discriminatory content and must not serve commercial or advertising purposes for products or services or be inappropriate in any other way. Any such photos will be disqualified. By participating in this contest and registering photos on the European Commission’s website, contestants agree to abide and be bound by the contest rules and decisions of the European Commission, which are final in all matters relating to the contest. 5. AWARD CRITERIA
The three monthly prizes will be awarded on the basis of a public vote carried out online by the website visitors. Voting will be open from 00:01 CET on the 16th of the month until the last day of each month at 23:59 CET, from February 2014 to June 2014. The three photos which receive the highest number of votes in the month in which they are submitted will be declared the three winners of that month. If several teams tie for the monthly prizes, all winning teams that month will receive a prize. In July 2014 a jury will determine the three winning teams based on three criteria: creativity, link with science and quality of the picture. Voters must select their top three entries when they vote. Only one voting session (three votes) per person per month will be allowed. In order to prevent multiple votes from the same persons, each voter will be asked to submit a valid e-mail address. The European Commission reserves the right to change, extend or reduce the Terms and Conditions of the contest or suspend or terminate the contest without prior notice. Depending on the number of submissions it receives, the European Commission reserves the right to end the submission period of the contest earlier than June 2014. The European Commission will inform via the competition website of any such change. In case of suspicion of fraud, the European Commission reserves the right to cancel the fraudulent votes. 6. PRIZES
Each member of the monthly winning teams will receive as a prize a package of campaign presents. The team which is awarded the first prize will be offered a trip to Warsaw to attend the European Union Contest for Young Scientists (EUCYS) in September 2014 for no more than 3 days. They will have the possibility to meet more than 100 young people from all over Europe and beyond, and to discover their fascinating science projects competing for the EUCYS prizes. They can take part in all the activities, including the award ceremony. More information on the contest can be found at: Members of the team will need to provide permission from their parents/guardians before accepting the prize in order to travel. Their travel documents will be checked. The prize cannot be transferred. The team must be accompanied by one adult over the age of 21 who will be responsible for them. The costs (accommodation and flights) for the winning team and accompanying adult will be met by the European Commission. Travel arrangements and accommodation will be identical to those for the student participants in EUCYS. The European Commission does not cover local transport (bus, metro, tram and taxis). The team and the person accompanying them will have lunches and dinners provided during their stay and be able to attend all the activities planned for the EUCYS contestants. They will also have free time in order to visit the beautiful city of Warsaw. All other expenses should be met by the winners and their escort.
The team winning the second prize will be offered a trip to Ispra to visit the research facilities of the Joint Research Centre in 2014 for no more than 2 days. They will have the possibility to meet experienced scientists from all over the world and to discover the real day to day work of scientists. Members of the team will need to provide permission from their parents/guardians before accepting the prize i n o r d e r to travel. Their travel documents will be checked. The prize cannot be transferred. The team must be accompanied by one adult over the age of 21 who will be responsible for them. The costs (accommodation and flights) for the winning team and accompanying adult will be met by the European Commission. The European Commission does not cover local transport (bus, metro, tram and taxis). Accommodation and travel will be arranged by the European Commission. All other expenses should be met by the winners and their escort. Each member of the team awarded the third prize will be offered an ICE Watch branded with the campaign’s visual identity: Science: it’s a girl thing! 7. COPYRIGHTS
By submitting a photo, contestants declare that the photo is their original work. The European Commission assumes no responsibility for disputes between persons claiming ownership of a photo. By submitting a photo, each contestant declares that the photo does not infringe any third party right, is suitable for publication and is not restricted by copyright. By submitting their photos, contestants transfer to the European Commission all copyrights and intellectual property rights of their photo. The European Commission will have unlimited use at its discretion, without restriction to geography or other nature, to use, review, transmit, broadcast, present, edit for promotional and educational activities in any medium such as print, electronic and audiovisual media, pertaining to the use of the material submitted without limitation. Contestants declare that the European Commission may use their photos in its promotional activities. In particular, the European Commission shall have the right to use, broadcast, display, edit and change photos in whole or in part. The European Commission decides whether or not and how it wishes to claim and exercise these rights. 8. PERSONAL DATA
All personal data will be processed in accordance with Regulation (EC) 45/2001, of the European Parliament and of the Council of 18 December 2000 on the protection of individuals with regard to the processing of personal data by the Community institutions and bodies and on the free movement of such data. The relevant processing operations regarding the contest are under the responsibility of the Director General of the Directorate General for Research and Innovation, acting as Controller. Identification data The personal data collected and further processed will be: • Data necessary for the management of the contest and the organisation of the winners’ travel such as gender (needed for the right title)/age/name/surname/E-mail address/phone number/home address) • Photographs and videos of the winners Who has access to the personal data and to whom is it disclosed? Some of the personal data of the contestant (age, gender and possibly also name, surname and photographs and videos) could be published on the web (including Facebook – without tags) and printed publications. If contestants do not agree with this publication of their personal data, they should inform the data controller by using the Contact Information below and by explicitly specifying their request. How do we protect and safeguard your information? The collected personal data and all information related to the contest is stored on a computer of the Commission’s external contractor, acting as processor, who is contractually bound vis-à-vis the Controller by the obligation to meet the provisions required by the Regulation (EC) 45/2001, in particular the confidentiality of the personal data collected. How long do we keep your data? Personal data such as name and surname is kept as long as follow-up actions to the contest are necessary with regard to the purpose(s) of the processing of personal data as well as for the contest and its related management. All personal data will generally be deleted from databases 1 year after the last action in relation to the contest. Reports containing personal data will be archived according to the relevant Commission’s legal framework.
